send outlook calender item to trainer on course assignment

Rationale is that we are ensuring that trainers calenders are consistent across platforms.

Allowing stakeholders the ability to check availability at a glance whether they are a user of the system or not.

When the trainer is added as a resource,  an email with an outlook calender item attached is sent to the trainer to update their calender to show that they are booked onto that specific course instance as opposed to refreshing & exporting their calender from the trainer dashboard manually.

    Thanks Cameron. We are able to integrate with Microsoft exchange, this allows you to sync your training calendar with outlook automatically. Would this help ?

    Hi Dave

    I think outlook integration could work but I'm more keen on attaching the item onto an email putting the onus on the trainer to update their calender accordingly.

    A fair percentage of our business comes from ad hoc work that may come in a couple of days before a course could potentially start so we'd be looking to use it as a confirmation that the trainer has received / confirmed their booking.

    I had a look at another product suggestion on ical items and thought this also could work but was unsure whether the user would need access to the internet to be able to download from accessplanit.

    Is there potential to have ics files as a valid file format when setting up as a document template?

    I set up a test word document and was able to pull through the details I'd be after to attach onto an email to the trainer.
